Position Details
Position Context: External Relations at ULethbridge
The Office of External Relations leads and inspires meaningful engagement and philanthropic support from alumni and friends to advance the University’s mission and is deeply committed to building the reputation and impact of the University as a leading, progressive, research-intensive University uniquely positioned to meet the needs of Southern Alberta. 

Our Office is comprised of four units:
  • External Relations Information Services is the information and technology support unit for the team;
  • Alumni Relations provides programs, services, and engagement to ULethbridge alumni worldwide;
  • Philanthropy leads efforts to promote and secure philanthropic support from alumni, donors, friends, corporations, and foundations;
  • Community Engagement works to provide meaningful opportunities through events and communications for key external stakeholder groups.

The Office of External Relations is currently embarking on two significant strategic initiatives:
  • A CRM transformation project, changing from its current Advancement CRM to a vendor-driven CRM solution, supporting all External Relations staff and campus partners.
  • A significant multi-year fundraising initiative for student scholarships (2023-2025).

Position Summary:
This is a full-time, continuing position located at our Lethbridge campus. Preference will be given to candidates who will work some portion of this role at the Lethbridge campus, but we will also consider hybrid work arrangements for Alberta-based candidates where visits to the Lethbridge campus would be less regular.

The University External Relations Office is currently accepting applications for the role of Senior Business Analyst. The Senior Business Analyst role is a multipurpose role within the External Relations Office involved with business analysis (assessing, identifying, designing, planning, implementing, and monitoring) of the units business systems and processes, including project management of technology and business process, change projects for the three programs of External Relations (Alumni Relations, Philanthropy, and Community Engagement), as well as all External Relations functions across campus, including communications and marketing, government relations, and other connected business units.

The role requires expertise and efficiency in technical writing, and facilitating discussions with cross-functional teams, working with, and supporting complex, high-profile projects that impact interconnected business functions. The Senior Business Analyst provides a vital function within External Relations, demonstrating leadership and initiative and having ownership, responsibility, and accountability for the management of multiple competing priorities and high-profile projects in an often ambiguous and responsive environment.
In the first year, the Analyst role will be heavily focused on coordinating tasks, activities, documentation, and related deliverables for the CRM transformation project, to ensure on-time and quality delivery of the CRM solution for the entire alumni and donor lifecycle, including alumni engagement, events management, fundraising and gift processing, prospect management, communications, reporting, data management, training, and system support. The Analyst will be a key member of the CRM transformation project management team, and will work closely with the chosen external vendor, External Relations units, Financial Services, and IT to deliver the CRM system on time, with high quality and integrity, and meets defined user requirements.

Longer term and more generally, the Senior Business Analyst role addresses the needs for work directly related to the implementation, identity and access, data preparation, and reporting and analytics for the broader eco-system of information, data and business process for the Office of External Relations. The Senior Business Analyst develops and executes processes, procedures, and plans to ensure successful operationalization of business solutions, which includes preparing documentation, leading training sessions, and providing subject matter support to the External Relations team and connected units across campus with respect to all External Relations information systems and data practices.

The Senior Business Analyst will supervise the Database Information Specialist, and will report directly to the Director of Philanthropy, while maintaining close working relationships with heads of other impacted business units.

The University of Lethbridge is undertaking a job classification and compensation review for Administrative Professional Officer (APO) positions. As such, the salary range currently assigned for this position may be adjusted as a result of this project.
Position Qualifications
Candidate Profile:
The ideal candidate has experience or familiarity with the Advancement/External Relations work environment, is knowledgeable and experienced with CRMs and the important role they play in achieving External Relations strategies. The incumbent should be an effective leader, providing a clear and concise vision, strategy, and approach to project teams, and setting a professional and effective example for team members and colleagues to emulate. Successful candidates will be exceptionally strong communicators, exhibit sound judgment in dealing with confidential information, have a mature attitude and insight into matters affecting self, the department, and the organization and be a customer-focused, team-oriented self-starter.

Education, Skills and Experience:
  • University degree required. Preference for Bachelor of Science, Bachelor of Management, Bachelor of Communications or a Bachelor of Arts with a specializations in computer science, information technology, project management or business analytics. Recent equivalent work experience will be considered.
  • Certification in Business or Data Analysis is an asset.
  • Technical competencies with Windows, Microsoft Office, macOS, SQL & Oracle Querying, system design, system architecture, and advanced Excel formula building and data manipulation skills are essential.
  • Experience with either or both, Banner Advance and Raiser’s Edge NXT strongly preferred.
  • Experience or exposure to concepts that are specific to one or more functional areas of External Relations, such as digital communication, community engagement, fundraising, events, gift processing, record or constituent/customer relationship management, data processes, financial processes, prospect management and research, data maintenance and the creation and distribution of reports and analyses.
  • Demonstrated experience in delivering presentations, technical writing, and facilitating discussions with cross functional teams, working with and supporting complex, high profile projects that impact interconnected business functions.
  • Planning skills, particularly an ability to convert overall business goals and drivers into short-term, assignable tasks and objectives.
  • Ability and willingness to effectively manage, coach, and consistently provide specific performance feedback to project team members, and to provide an environment that supports the long-term goals of team members.
  • Strong organizational and time-management skills, including the ability to confidently manage competing priorities and situations where demands significantly exceed the time needed to service them.
  • Ability to function effectively at both the strategic and tactical/detail levels, correctly discerning which approach to take in any given circumstance.
  • Excellent written and oral communication skills, including the ability to: communicate at all levels, speak clearly and persuasively in positive or negative situations, write clearly and informatively in various formats, and to target communication appropriately to various audiences.
  • Ability to develop and manage project teams and budgets and to align team resources and effort in support of the project objectives.
  • Strong analysis and problem-solving techniques and abilities.
  • Willingness and ability to make timely decisions, exhibiting sound and accurate judgment. 
  • Ability to support and explain the reasoning for decisions and include appropriate people in the decision-making process.
Starting Salary Range (at 1.0 FTE) $61,413.10 - $77,258.06 annually
Full Salary Range (at 1.0 FTE) $61,413.10 - $93,103.02 annually (APO - Grade 3)
