Position Details
The Teaching Centre and Agility at the University of Lethbridge requires the services of a qualified full-time Administrative Assistant I.

Your Team
Reporting directly to the Associate Director of the Teaching Centre & Agility, the successful candidate will have the opportunity to provide leadership, coordination, facilitation and support for the University of Lethbridge Teaching Development, Educational Technology, and Innovation & Entrepreneur Initiatives. You will have the opportunity to work with a diverse team of highly qualified staff and faculty who are passionate about enhancing teaching, learning, and the student experience at the University of Lethbridge.

Duties and Responsibilities

The Administrative Assistant will assist and support the Teaching Centre and Agility in all facets of their operations. They are the first point of contact for faculty, staff, and students and are responsible for file management, content management, communications, scheduling, project assistance, and other duties as required.

Responsibilities May Include:
  • Answering phones and directing calls where needed to the appropriate departments/individuals;
  • Drafting and editing various documents, ensuring all communication is clear and effective;
  • Organizing and managing files and documents;
  • Managing the Teaching Centre & Agility email account and calendars, including screening all incoming materials, referring matters for reply or additional information, and prioritizing for the attention of the appropriate staff member;
  • Composing complex correspondence as required in a tactful, professional, and timely manner;
  • Organizing meetings for staff and committees (finding appropriate times for participants, arranging the appropriate venue, and ordering catering if necessary), seeing to the distribution of materials, recording the proceedings in minutes and preparing draft reports as needed;
  • Procurement and purchasing of goods and services;
  • Planning, organizing, and implementing events, such as speaker events and conferences;
  • Content management of the Teaching Centre and Agility websites;
  • Moodle administration and support, including course restores and accommodated learning exam overrides;
  • Support for teaching development programs and “scholarship of teaching and learning” (SoTL) research projects;
  • Financial reconciliation;
  • Oversight and alignment of processes with university policies and practices;
  • Performing other related duties as required.
Position Qualifications
The successful candidate will have:
  • A two-year Office Administration or comparable diploma and a minimum of three years related work experience, or an equivalent combination of education and experience;
  • Proven administrative skills (including proficiency with word processing, spreadsheet, basic financial transactions, and web site updating);
  • Great attention to detail and accuracy;
  • Record-keeping, filing, and telephone skills ;
  • Excellent organizational and interpersonal skills;
  • Excellent communication skills ;
  • The ability to work in a collaborative team-based academic environment;
  • A high level of technical aptitude and experience ;
  • The ability to work flexibly and independently within a team ;
  • Experience working Moodle, Blackboard, or other Learning Management Systems would be an asset.

The successful candidate must also have a demonstrated ability to work in a fast-paced environment, deal with interruptions and overlapping deadlines, exercise superior independent judgement, and learn multiple university management systems, while maintaining effective working relationships within the University community.
Starting Salary Range (at 1.0 FTE) $3,958.00 - $4,403.00 monthly
Full Salary Range (at 1.0 FTE) $3,958.00 - $4,848.00 monthly (AUPE - Grade 8)
